2. Data and sources
We process information you provide in enquiries, quotations, orders, accounts and support exchanges: identity and contact details, company and VAT information where relevant, billing and delivery details, correspondence, order and payment references. Website use can also generate technical data such as IP address, device/browser details, visited pages and security logs. Data comes from you, your use of the site and, when necessary, payment, delivery or business-contact sources involved in your transaction. We do not ask you to send full payment-card details by email.
3. Purposes and legal bases
Enquiries, quotations, orders and support are processed to take steps at your request or perform a contract (GDPR Article 6(1)(b)). For contacts representing a company, our legitimate interest is managing that business relationship (Article 6(1)(f)). Accounting, tax and other mandatory records are processed to comply with legal obligations (Article 6(1)(c)). Security, fraud prevention and the establishment or defence of claims rely on our legitimate interests, balanced against your rights. Optional marketing and non-essential tracking require consent where applicable (Article 6(1)(a)); purchasing does not give blanket marketing consent.
4. Required and optional information
We indicate required fields when collecting information. Without the details needed for a quotation, delivery, payment or legal invoice, we may be unable to provide that service. Optional information and consent to marketing are not conditions of purchasing. Do not send sensitive personal information unless specifically necessary for your request.
5. Recipients and service providers
Authorised staff and service providers receive only information needed for their role, including hosting/IT, CRM and support, payment processing, delivery and accounting. The site integrates Agile CRM and Google services; non-essential tracking is governed by your cookie choices. Providers acting on our behalf must operate under appropriate data-processing arrangements; payment providers or authorities may have their own independent legal duties. Information may be disclosed to competent authorities or advisers when legally required or necessary for a claim.
6. International transfers
Some technology providers may process data outside the European Economic Area. Transfers require a valid legal mechanism, such as an applicable European Commission adequacy decision or standard contractual clauses with any necessary supplementary safeguards. You can request information about the safeguards relevant to your data and a copy where applicable by contacting us.
7. Retention
Enquiries are kept for the time needed to answer and follow up, then deleted or limited to what is needed for an ongoing relationship or claim. Orders, invoices and accounting records are retained for the applicable Belgian tax/accounting periods and, where necessary, relevant limitation periods. Account and support information is kept while needed to provide the service and meet those obligations. Marketing data is used until withdrawal or objection, while a minimal suppression record may be retained to respect your choice. Technical logs are retained only as needed for security and incident investigation. Cookie lifetimes are described in the Cookie Policy; they are distinct from the retention of transaction records.
8. Your rights
Subject to the GDPR conditions, you may request access, correction, erasure, restriction and portability. You may object to processing based on legitimate interests and always object to direct marketing. You may withdraw consent at any time without affecting prior lawful processing. Send requests to sales@mqeurope.com. We normally reply within one month; if the GDPR permits an extension for a complex or numerous request, we explain the reasons within that month. We request proportionate identity information only where necessary.
9. Complaints and protection
You may complain to the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, or another competent supervisory authority. We apply appropriate organisational and technical safeguards; no online transmission can be guaranteed risk-free. Decisions producing legal or similarly significant effects must not be based solely on automated processing unless the applicable legal conditions and safeguards are met.
